How to Sign-in to Your UnifiedRing Account?

Signing-in to your UnifiedRing online account either as an Administrator or as a User follows the same process. You will have certain privileges assigned to you based on the designated role provided to you by your company.

NOTE:

You or your company must have a valid subscription to UnifiedRing to access the UnifiedRing features.

Upon valid subscription to UnifiedRing, you will receive a My Account link and login credentials via your registered email. Click the link to sign-in with your UnifiedRing login credentials.

Sign-in to Your Online Account as Admin or User

UnifiedRing Online Account:

Step 1: Go to UnifiedRing URL: https://unifiedring.co.uk/myaccount/  

Step 2: Enter your User Email in the Email field provided.

Step 3: Enter your Extension Number in the Extension field (optional).

Step 4: Enter your User Password (as received from UnifiedRing team via email).

Step 5: Click Sign In button.

NOTE:

  1. Check the Stay signed in checkbox, if you wish to store your UnifiedRing login credentials for your system to remember upon your next login.
  2. Click Forgot Password Link to reset your password for your UnifiedRing online account.
  3. Click Sign up here link, if you are new to UnifiedRing.

UnifiedRing Phone Account:

UnifiedRing Phone can be used to change your extension settings, make and receive calls, and much more. Open UnifiedRing Phone app to use your UnifiedRing Phone, and enter your UnifiedRing login details.  

The steps below explain how to sign-in to your UnifiedRing Phone app with your UnifiedRing Phone Number:

NOTE:

Your login method will depend on your Administrator's account settings. You must have received your sign-in credentials before you set up your user account.

Step 1: Download UnifiedRing Phone app from the respective app/ play stores (Click here to download UnifiedRing for iOS or Click here to download UnifiedRing for Android).

Step 2: Install and launch the UnifiedRing Phone application on your mobile phone.

Step 3: Enter the extension number followed by UnifiedRing ID. For example, if your extension number is 722; your username will be 722@vectone.com and enter the password provided by your administrator.

Step 4: Tap Log In button.

Step 5: Your business phone number is displayed with the extension number. Select your Country from the available list.

Step 6: Enter your Mobile Phone Number.

Step 7: Tap Continue to access the main screen of UnifiedRing Phone account.

NOTE:

  1. It is possible to sign-in with the main number and extension, even if you have a direct number. It is recommended to use your direct number.
  2. Password is case sensitive. Any mismatch will lead to unsuccessful login.

 

Ability to Setup Email to Login UnifiedRing Account

Administrators and Users can change their User login to use their email address while logging in UnifiedRing account. Below steps will guide Admins and Users on how to set up email to login in UnifiedRing Account.

Requirements:

  1. Users must have a unique email address to enable this feature.
  2. Existing Users with unique email address can log in immediately with their email credentials after the update.
  3. Existing Users who log in with their phone numbers will be notified with a pop-up message about the feature and will be given the ability to set their email addresses as unique.

Enable Login by Email (Administrator Permissions):

Administrators can enable permissions for Users to login via email ids. To do so, follow the below steps:

Step 1: Go to Users > User List > User with extensions tab.

Step 2: Select the respective User, and click User Details drop down.

Step 3: Under General tab, select Email Status as Enable from drop down, and click Verify Email Address Uniqueness button.

Step 4: Click Save.

This action will enable permissions to the corresponding Users to use Email address while logging in UnifiedRing application.               

NOTE:

  1. Only Administrators can verify user’s email address by clicking the Verify Email Uniqueness button.
  2. Users must have a unique email address to use this feature. If a User's email address is not unique, login errors may be encountered.

Update Company Information

How to Update Company Information?

Administrators are allowed to access and update the Company Information in UnifiedRing online account. The Company Information settings allow you to change Company Name, Country, Company Address, Postcode and City information. Following steps best describes on how to update Company Information in your UnifiedRing online account.

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to update Company Information is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Company Info

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Company Info.

Step 3: Click on a particular record name. You will get a pop-up screen with tab General Info and Address

Step 4: Fill Site Name and Site Extension in General Info tab. Click Save but to save the changes. 

Step 5: In Address tab, you are allowed to select Country from the drop-down, enter Company Address, City, and Postcode

Add Company Phone Number

How to Add Company Phone Number to Your UnifiedRing Account?

Account Administrators will have the permissions to Add Phone Numbers to your UnifiedRing account. Added Phone Numbers can be assigned to your User Extension or Auto-Receptionist. Following steps best describes on how to add Local Phone Numbers to your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phone Numbers. Phone Numbers for administrator are categorised as Company, Assigned and Unassigned. Under the Assigned tab, click Add Numbers button. The list of numbers displayed for the Assigned group with Location, Assigned to and Types.

Step 3: On clicking Add Numbers button, Add Number pop-up window is displayed. Under Select Number tab, options categorised as Local (Domestic), Free-Phone, Non-Geographic and International. Select Local (Domestic) option and Select the desired Area Code prefix from the list that has to be added to your service. 

Step 4: Choose a number from the Available Numbers group and click Add Numbers button.

You can also add multiple numbers from the Available Numbers group

Step 5: Click Next button to proceed with assigning the selected number(s).

Step 6: Under Assign Ext. tab, you can assign the selected number(s) either to Auto-Receptionist or to a Selected Extension. By selecting Auto-Receptionist the selected numbers are moved to Unassigned.

By choosing Auto-Receptionist option under Assign Ext. tab, the number that you will add will become an Additional Company Number, and the calls will be connected to your company's Auto-Receptionist.

Assign Number to Selected Extension:

By choosing Selected Extension option under Assign Ext. tab, the number that you will add will become your user’s Direct Number, and the calls will follow the selected user's Greeting, Screening and Hold Music, and Call Handling & Forwarding settings.

Step 6: Click Next button to continue with Order Confirmation.

Step 7: Under Confirm Order tab, you can review your transaction's Charges, Adjustments, and Taxes, Charges, and Fees. Check the box to acknowledge the terms and conditions listed for accrued charges to avail the Add Number feature in your UnifiedRing account, and click Next button.

Step 8: Upon confirming the order, you will see more details related to your transaction under Order Confirmation tab. Click Done button to complete the Add Number process.

NOTE:

You can take a note of the reference number for the transaction made for further inquiries on this order while calling UnifiedRing Customer Service.

Add Free-Phone to UR

How to Add Free-Phones to Your UnifiedRing Account?

Account Administrators will have the permissions to Add Phone Numbers to your UnifiedRing account. Added Phone Numbers can be assigned to your User Extension or Auto-Receptionist. Following steps best describes on how to add Free-Phones to your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phone Numbers. And, under the Company tab, click Add Numbers button.

Step 3: Add Number pop-up window is displayed. Under Select Number tab, select Free-Phone option from the Select Number Type. 

Step 4: Select the desired Area Code prefix from the list that has to be added to your service, and select the Available Numbers from the group (NOTE: You can also add multiple numbers from the Available Numbers group)Number pop-up window is displayed. Under Select Number tab, select Free-Phone option. 

Step 5: Click Add Numbers button to view and confirm the selection.

Step 6: Click Next button to proceed to assign the selected number(s).

Step 7: Under Assign Ext. tab, you can assign the selected number(s) either to Auto-Receptionist or to a Selected Extension.

Upon choosing Auto-Receptionist option under Assign Ext. tab, the number that you will add will become an Additional Company Number, and the calls will be connected to your company's Auto-Receptionist.

Upon choosing Selected Extension option under Assign Ext. tab, the number that you will add will become your user’s Direct Number, and the calls will follow the selected user's Greeting, Screening and Hold Music, and Call Handling & Forwarding settings. 

NOTE:

UnifiedRing has set limits for the protection of customers from fraudulent activities or over usage. If you get a message saying that you have exceeded the maximum allowed value that can be processed on your account in a single billing cycle, please contact UnifiedRing Customer Service.

Step 9: Upon confirming the order, you will see more details related to your transaction under Order Confirmation tab. Click Print button to print a copy of your transaction or Done button to complete the Add Number process. 

Assign a Number to an Extn

How to Assign a Number to an Extension?

Account Administrators will have the permissions to Assign Numbers to the specified Extensions in UnifiedRing account. Upon adding numbers to your UnifiedRing account, you are allowed to assign the numbers to the selected extensions. Following steps best describes on how to assign phone number to a selected Extension:

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to assigning numbers to extensions is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Phone Numbers

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phone Numbers, and under the Company tab, click Assign to ext. link available against the phone number that you need to assign.

NOTE:

  1. Assigning the number to an Extension will follow the rule set on the specified extension.
  2. All the numbers assigned to the desired extensions will be available in the Assigned tab of Phone Numbers section.

Add Assignee Phone Number 

How to Add an Assignee Phone Number to your account?

Account Administrator will have the permissions to Add Phone Numbers to your UnifiedRing account. Added Phone Numbers can be assigned to your User Extension or Auto-Receptionist. Following steps best describes on how to add Local Phone Numbers to your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials. 

Step 2: Go to Phone System > Phone Numbers. Phone Numbers for administrator are categorised as Company, AssignedUnassigned, and Transferred. Under the Assigned tab, click Add Numbers button. The list of numbers displayed for the Assigned group with Location, Assigned to and Types.

Step 7: Click Next button to continue with Order Confirmation.

Add an Unassigned Phone

How to Add an Unassigned Phone?

An Unassigned Phone is an IP Phone in your account that is not yet activated or assigned to any User. Unassigned phones do not have a monthly service cost until they are associated with a Digital Line. UnifiedRing allows you to add or order phones in advance or keep existing phones until they need to be re-assigned to the active users in future. In other words, an Unassigned Phone is a reserved phone in your account stash. Following steps best describes on how to add an Unassigned Phone to your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phone Numbers. Select Unassigned tab and click Assign to Ext. link available on the selected record.

Step 3: On clicking Assign to Ext. link, Select Extension pop-up window is displayed. Select any of the extension from the list and click Done to allocate the selected number to a specified Extension.

NOTE:

Upon assigning the unassigned numbers to the specified Extensions or Users, the numbers will be available under Assigned tab.

Step 4: You are allowed to Delete the Unassigned numbers from the list by clicking Delete icon in Operation column followed by Yes button.

Transfer Existing Number to UR

How to Transfer Your Existing Phone Number to UnifiedRing?

If your existing phone number is still with your previous provider, you can transfer it to your UnifiedRing account. Following steps best describes about transferring an existing phone number to UnifiedRing account:

NOTE:

Ensure your current service or existing phone number is in active status before initiating the transfer.

Step 1: Enter the necessary information and Submit a transfer request from your UnifiedRing online account. (NOTE: The information you enter must match exactly with the record available with your current service provider. Any mismatch can lead to delay in number transfer.)

Step 2: Follow the instructions on the screen in your online account.

Step 3: UnifiedRing will send your transfer request to your current service provider.

Step 4: In the meantime, you can setup your Greetings, Answering Rules, and other account related settings for your UnifiedRing account, so that you can start using your UnifiedRing account to make and receive phone calls (if it is a part of your service plan) with the help of your temporary UnifiedRing phone numbers until the transfer process is complete. (Note: You can use your temporary UnifiedRing phone numbers only up to an available limit).

Step 5: UnifiedRing will send you a notification to your registered email when your transfer is complete. Your transferred numbers will be available to use with UnifiedRing from that point.

NOTE:

  1. Cancel all your special features or additional subscription plans with your existing service provider before submitting your transfer request. Remember to cancel only the features and not the entire phone service.
  2. Cancel all the pending service orders (if any): Ensure that there are no pending service orders with the existing service providers before submitting your transfer request.

 

Customise Auto-Receptionist

How to Customise Auto-Receptionist in UnifiedRing?

UnifiedRing allows you to set Company Call Handling in your account to customise what your customers will listen while they connect to your business phone number. The Auto-Receptionist controls what the callers listen to when they dial your company number during Company Hours or After Hours. You have an option to record Company Greeting over your computer microphone or you can also import any pre-recorded audio files from your PC to your UnifiedRing online account.

Following steps best describes on how to configure your Company Call Handling Settings in your UnifiedRing online account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist.

Step 3: Click General Settings.

Step 4: Click on a name > IVR Settings

Step 6: On clicking Edit button either in Company Hours Greeting or After Hours Greeting section, Company/ After Hours Greeting respective pop-up window is displayed. After selecting the preferences click on the save button. 

Route Company Calls to Extension

How to Route Company Calls Directly to an Extension? 

In UnifiedRing, your Company Business Hours is set to 24 Hours by default. You are allowed to change your Company Business Hours in order to handle the incoming calls during the day or after your business hours. 

In UnifiedRing, you are allowed to setup an extension to receive all the incoming calls during Company Hours. This helps to perform the call transfers by live operators manually to the exact extension or call group. 

UnifiedRing also allows you to setup an extension during After Hours to receive all incoming calls and voicemail messages. Following steps will guide you on how to route your company calls directly to an extension in your UnifiedRing account.  

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to modify Call settings is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Auto-Receptionist

Route Calls to Extension during Business Hours

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist.

Step 3: Click General Settings.

Step 4: Click a name > IVR Settings block.

Step 6: Select the desired Extension where you need to route your calls during After Hours from Select Extension pop-up window appeared, and click Done

NOTE:

Company After-Hours call handling goes into effect when your business is closed. After-Hours will not work when the working hours is set to of 24 hours a day. To change the working hours, go to Phone System > Auto-Receptionist > General Settings >”Select Extension” > Company Hours.

Route Calls to Extension during After Hours

Step 1: Login your UnifiedRing online account with Administrator Login credentials.  

Step 2: Go to Phone System > Auto-Receptionist.  

Step 3: Click General Settings.  

Step 4: Click a name > IVR Settings.

Step 6: Select the desired Extension where you need to route your calls during After Hours from Select Extension pop-up window appeared, and click Done.

NOTE:

When Company Calls are routed directly to an extension, the Company Greeting will be bypassed and the Call Handling Rules of the extension where the calls are routed will be applied.

Set Company's Availability

How to Set Your Company's Business Hours, Time Zone and Time Format?

Account Administrators will have the permissions to set Company’s Call Handling rules during and after your company business hours. Settings can be done for 24 hours format or specified number of hours. Following sections best describes on how to set company’s business hours, time zone and time format in your UnifiedRing account:

Set Your Company Business Hours

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist. Click Company Hours block.

Step 3: Under Company Hours, select Custom Hours. On selecting Custom Hours option, you can set how the incoming calls should be handled when your business is open and closed respectively. Click Save to save your preferences. 

NOTE:

Select 24 hours/7 days a week option if your business is open 24/7.

Set Your Company Time Zone and Time Format

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist. Click Regional Settings drop down.

Step 3: Under Regional Settings pop-up window, you can select desired time zone from Time Zone drop down. You can select your preferred Time Format as 12 hour or 24 hour format respectively.

Step 4: You can also edit:

  1. Home Country Code: Select your Home Country Code from drop down.
  2. User Language: Select your User Language from drop down.
  3. Greetings Language: Select the desired Greetings Language from drop down.
  4. Regional Format: Select Regional Format from drop down.
  5. Time Zone: Select your Time Zone from the drop down list.

Step 5: Click Save to save the preferences.

NOTE:

  1. The Time Format you will select will be set as the default for the entire company, unless the User changes their preference in their own extension.
  2. Setting the correct Time Zone ensures that you will not miss any calls when you specify your company's hours of operation.

Set Company Greetings

How to Set Company Greetings in UnifiedRing?

UnifiedRing allows you to set a Company Greeting in your account to customize what your customers will listen while they connect to your company number. You have an option to record Company Greeting over your computer microphone or you can also import any pre-recorded audio files from your PC to your UnifiedRing online account.

Following steps best describes on how to setup a Custom Company Greeting in your UnifiedRing online account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist.

Step 3:  Click a name > Click IVR Settings block.

Step 4: Under IVR Settings pop-up window displayed, you can Edit Company Hours/ After-Hours Greetings.

Step 5: On clicking Edit button under Company Hours Greeting/ After-Hours Greeting section, Company Hours/ After-Hours Greeting pop-up window is displayed. After making all the changes click on the save button to save your preferences.

Set Company’s Operator Extn

How to Set Your Company’s Operator Extension?

The Operator Extension is an extension used to receive all the incoming calls and messages that comes to the Company’s Main Number. The default Operator Extension is 0 (Zero). You can also assign another User or Extension as the Operator Extension. Following steps best describes on how to configure your Company's Operator Extension: 

Step 1: Login your UnifiedRing online account with Administrator Login credentials. 

Step 2: Go to Phone System > Auto-Receptionist.

Step 3:  Click a name > Click IVR Settings block.

Step 4: Under IVR Settings pop-up window displayed, click Select Extension button.

Step 4: On clicking Select Extension button under General IVR Settings section, Select Extension pop-up window is displayed.

Step 5: You will be able to see the list of extensions and departments available in your UnifiedRing account.

Step 6: Select the desired extension or department that will serve as the Operator, which will receive all the calls and messages when your Main Company Number is dialed. Click Done.

NOTE:

While listening to the Company Greeting, caller pressing 0 (zero) connects the caller to the Operator Extension.

Set Company Call Handling

How to Set Company Call Handling in Your UnifiedRing Account?

UnifiedRing allows you to set Company Call Handling in your account to customize what your customers will listen while they connect to your business phone number. The Auto-Receptionist controls what the callers listen to when they dial your company number during Company Hours or After Hours. You have an option to record Company Greeting over your computer microphone or you can also import any pre-recorded audio files from your PC to your UnifiedRing online account.

Step 3: Click a name > Click IVR Settings block.

Set Dial-by-Name Directory

How to Set Dial-by-Name Directory?

Dial-by-Name Directory in UnifiedRing is very helpful for the callers to search and immediately connect the person whom they want to speak with. Dial-by-Name Directory enables your callers to find extensions in your system by First or Last Names.

As an Account Administrator, you can change or edit the Searchable Extensions, change the extension number of the directory, specify mode of search either by First Name or Last Name, and configure the Extensions List. Following steps best describes on how to set Dial-by-Name Directory in your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist. Click Dial-by-Name Directory block.

Step 3: Under Dial-by-Name Directory pop-up window, you can perform the following operations:

  • Enable or disable the Dial-by-Name Directory: You can toggle between On and Off to Enable or Disable the Dial-by-Name Directory feature based on your preference.
  • Select the extensions you want to include in the Dial-by-Name Directory: By default, all the extensions and departments are included in the Dial-by-Name Directory list. To edit the list, click Select Extension button under the extension grid.

On clicking Select Extension button, you can select the Extension(s) that you need to include in the directory by checking the box beside the Name in Choose Extensions pop-up window. Click Done button to save the preferences.

NOTE: You can also type in the Search box and select from the list of Departments to locate the Extension.

  • Change the Directory Extension number: The default extension for the Dial-by-Name Directory is 9. You can change the Directory Extension number according to your preference.
  • Specify Search Criteria: You can either set the extensions to be searched by First Name or Last Name on the Dial-by-Name directory. Click Save button to save your preferences.

NOTE:

If you want to reach the Dial-by-Name Directory, you must call the UnifiedRing Main Number.

 

On-Demand Call Recording

How to Setup & Initiate On-Demand Call Recording?

On-Demand Call Recording in your UnifiedRing account enables Users to record calls any time by pressing hash 8 (#8) from your phone dial pad. This is a default feature available on all UnifiedRing plans. Only Account Administrators are allowed to set Call Recording feature in UnifiedRing application. Both Administrators and Users can manually record calls using their IP Phones or Mobile Phones using UnifiedRing app. Following sections best describes on how to Setup and Initiate On-Demand Call Recording feature in your UnifiedRing account.

Setup On-Demand Call Recording

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist. Click Call Recording block.

Step 3: Under Call Recording pop-up window, toggle the (On-Off) switch to Enable or Disable On-Demand Call Recording.

NOTE:

The On-Demand Call Recording feature is Enabled by default.

Step 4: Click Edit button under Announcement on start/ Announcement on stop sections to edit the greeting messages respectively. 

Step 5: Click Save to save the preferences.

Initiate On-Demand Call Recording

On-Demand Call Recording enables Users to manually record phone calls anytime using an IP Phone provisioned with UnifiedRing, Forwarding Number and/ or UnifiedRing Mobile app. Follow the steps below to Start, Stop and Save the Call Recording:

Step 4: In an existing call, press #8 to Start recording your conversation.

NOTE:

You can tap Call Recording button available on Call Control menu while using UnifiedRing Mobile app to start the recording.

Step 5: Press #8 again to Stop and Save the recorded conversation.

You can tap Call Recording button again on Call Control menu while using UnifiedRing Mobile app to stop recording and save the conversation.

 

On-Demand Call Recording Announcement

How to Customize On-Demand Call Recording Announcement?

On-Demand Call Recording is a feature available in your UnifiedRing account that allows your Users to record calls anytime by pressing hash 8 (#8) button from their phone dial pad. You are allowed to customize the settings of this feature by recording your own greeting or uploading a pre-recorded audio file available in your PC. Following steps best describes on how to customize On-Demand Call Recording in your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Auto-Receptionist. Click Call Recording block.

Step 3: On-Demand Call Recording Announcements are originally set to Default. To customise your On-Demand Call Recording Announcements, click on the Announcement in Call Recording pop-up window that you wish to customise and click Edit under respective section.

Step 4: You can set the audio message by clicking Edit button under Announcement on Start/ Stop sections respectively. Edit button opens up Set Greeting pop-up window in which Default/ Custom greetings can be set.

Step 5: Upon selecting Custom option from Set Greeting drop down, you can customize your On-Demand Call Recording Announcement by uploading audio (WAV) files from your PC.

Step 6: Click Save to save your preferences.

NOTE:

You are allowed to select the View In Language from drop down. This option allows you to select your own language to display the default greeting text. Your selection here affects only your current view of the greeting text. It will not change the Greetings Language setting.

 

Create Call Queue in UR

How to Create Call Queue in Your UnifiedRing Account?

Account Administrators will have the permissions to create and activate Call Queue in UnifiedRing account. Call Queue allows your callers to wait in queue when they reach the specified extension, if the User is busy. Callers will also be notified regarding the extension they have reached, and wait for the operator’s assistance.

Call Queue allows you to manage incoming calls, when the callers are directed to the specified extensions (or departments) with similar activities.

For example:

  1. Calls related to billing will be directed to billing department.  
  2. Calls related to sales will be directed to sales department.
  3. Support related calls will be directed to support team.

Considering the above statements, when each call is directed to the specified departments, and the User (or operator) is busy with other calls, he/ she can activate Call Queue. Activating Call Queue functionality notifies the callers with an IVR message that they are on Queue and will be assisted shortly.

Call queues increase the efficiency of your company by directing the calls to the right employees. Following steps best describes on how to create Call Queues in your UnifiedRing account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features. And, under the Call Queues tab, click Add Call Queue button.

Step 3: Enter the following details in Add Call Queue pop-up window:

  1. Extension Number: Select the available Extension Number from drop down for which the Call Queue has to be created.
  2. Direct Number: Select Direct Number from drop down corresponding to the Extension Number selected.
  3. Status: Select the status as Active or Inactive from drop down (selecting Active option activates the Call Queue for the specified extension).
  4. Audio File: Upload an Audio File (.WAV or .MP3) from your computer or enter the desired text which will be converted to audio by UnifiedRing Text to Speech. This audio file acts as an IVR message which will be used to notify incoming callers regarding Call Queue.

Step 4: Click Add button to add the Call Queue details to your UnifiedRing account.

Step 5: The page will return to the Call Queue list, where you can see the list of Call Queues associated to your admin account.

Step 6: Once your Call Queue is created and in Active status, the specified UnifiedRing (Extension) User can login to access the voicemail and messages Call Queue.

 

NOTE:

  1. You’re allowed to edit the Call Queue details. To edit a Call Queue record, click Edit button available in the Operation column of the corresponding record.
  2. You’re allowed to set the limits (from 10 to 100 entries) to display the number of records per page.

 

Add Numbers to Call Queue

How to Add Numbers to Call Queue in Your UnifiedRing Account?

Account Administrators will have the permissions to add phone numbers to Call Queue in UnifiedRing account. UnifiedRing allows you to add Local, Free-Phone, Non-Geographic, and International phone numbers respectively. These phone numbers can be assigned to your User’s Extension and activate Call Queues. Following steps best describes on how to add numbers to Call Queue in your UnifiedRing admin account:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features. And, under the Call Queues tab, click Add Number button.

Step 3: Under Add Number pop-up window, you can select:

  1. Local (Domestic): Select this option if you want to add local phone numbers. On selecting this option you will need to select the Area Code followed by Available Numbers. 
  2. Free-Phone: Select this option to add Free-Phone numbers provided by UnifiedRing. On selecting this option you will need to select the desired prefix numbers followed by the Available Numbers
  3. Non-Geographic: Select this option to add Non-Geographic numbers to your UnifiedRing account. On selecting this option you will need to select the desired prefix numbers followed by selecting Available Numbers.
  4. International: Select this option to add International numbers to your UnifiedRing account. On selecting this option you will need to select Geographic Numbers or Free-Phone Number option and select the desired Country followed by its corresponding State, Area Code and Available Numbers.

Step 4: Click Add Numbers button to add the selected numbers to the list.

Step 5: Click Next to review your order details.

Step 6: Under Confirm Order tab, review your order details and accept the Terms and Conditions by checking the terms and conditions checkbox and click Next.

Step 7: Under Order Confirmation tab, confirm the Billing Charges, Adjustments, Taxes, Charges and Fees, and click Done.

NOTE:

  1. You’re allowed to edit the order details before order confirmation. You cannot edit the order details once the request form is submitted.
  2. It is mandatory to select your preferred Area Code or prefix numbers before adding the numbers to UnifiedRing account.

 

Announcement-Only Extensions

How to Configure Announcement-Only Extensions?

Announcement-Only Extension is used to play only announcements for your callers. This extension allows you to record a message that will be played each time when the callers reach into your phone system. Incoming callers directed to this extension will listen to the recorded announcement (for example, you are allowed to record an announcement when the business is closed). Following sections best describes on how to configure Announcement-Only Extensions.

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to modify Announcement-Only Extensions is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Additional Features > Announcement

Add an Announcement-Only Extension

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features.

Step 3: Under Announcement tab, click New Announcement button.

Step 4: Under Add Announcement-Only Extension pop-up window, enter Extension Name and Extension Number of the Extension User. 

Step 5: Click Save button to save the preferences. 

Update Announcement-Only Extension

Login your UnifiedRing online account with Administrator Login credentials.

Step 1: Go to Phone System > Additional Features.

Step 2: Under Announcement tab, click the Extension from the grid that has to be updated.

  1. Under General tab:
    1. Enter Extension Name.
    2. Select Status as Enable or Disable from drop down.   
    3. Click Save to update the Announcement-Only Extension preferences.
  2. Under Settings tab:
    1. Click Edit button under Regional Settings to change the Time Zone, Time Format, Home Country Code, User Language, Greetings Language, Regional Format, and click Save.
    2. Click Edit button under Confirmation Message to Enable Confirmation Message and set the time duration (in seconds) for the Greetings Language, and click Save

Setup Announcement Greeting

Once the Announcements-Only Extension has been activated, you can now setup Announcement-Only Extension’s greeting. Follow the below steps to setup your Announcement-Only Extension greeting:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features.

Step 3: Under Announcement tab, click the desired Announcement-Only Extension record.

Step 4: Click Announcement drop down from the side screen appeared after clicking the desired extension.

Step 5: Click Edit button under Announcement Greeting section to set up the extension's announcement greeting. You may use the default system greeting, or create and upload your own greeting via Computer Microphone, or Import audio (.WAV) file from your computer. 

Hunt Groups

How to Configure Hunt Groups in UnifiedRing?

Hunt Groups in UnifiedRing allows you to distribute phone calls from one extension (main) to a group of extensions. Hunt Group consists of member groups that are setup to take incoming calls. Extensions under Hunt Group can be set up to ring simultaneously, sequentially or weighted rings. Following sections best describes on how to configure Hunt Groups in UnifiedRing. 

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to manage Hunt Group is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Additional Features > Hunt Groups

Add New Hunt Group

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features.

Step 3: Under Hunt Groups tab, click Add New Hunt Group button.

Step 5: Click Save button to save the preferences.

Step 3: Under Hunt Groups tab, click Edit link available in Operation column of the record list.

Step 6: Under Edit Member tab in Manage Hunt Groups pop-up window, you can add/ remove Member or Extension details to the Hunt Group. 

Step 7: To add members to the Hunt Group, select the Extensions from Non-Member block and click Join > button. 

Step 8: To remove members from the Hunt Group, select the Extensions from Member block and click < Leave button.

Step 9: Click Type tab to select three types of ringing for Hunt Group extension:

  • Simultaneous Rings: Selecting this option will ring all the extensions at the same time.
  • Sequential Rings: Selecting this option will ring the extensions in sequential order (i.e. for this setting, extensions can be arranged in sequence of choice, so that the call would jump from extension 1 to 2 and then to 3 and so on. To arrange the extensions, you can click and drag the desired extension to the desired order in Member block).
  • Weighted Rings: Select this option and Select a Member from drop down to prioritize the selected extension (i.e. for this setting, one extension could be set as priority, which would ring first and then others extensions would ring simultaneously).

Step 10: Click Save to save the preferences.

Call Blast

How to Manage Call Blast in UnifiedRing?

Call Blast feature in UnifiedRing allows you to contact multiple Users simultaneously and broadcast a pre-recorded message. You are allowed to send instant messages to the Users or schedule a time to send messages. You can also specify extension(s) to send and receive the Call Blasts. Main operations include add/ remove Call Blasts through your UnifiedRing online account. Following sections best describes on how to manage Call Blast in your UnifiedRing account. 

NOTE:

You must have Administrator permissions in order to proceed with the steps below. Access to manage Call Blast is limited to the following Administrator roles:

  • Account Administrator
  • Phone System Admin
  • Custom roles with access to Phone System > Additional Features > Call Blast

Add New Call Blast

Step 1: Login your UnifiedRing online account with Administrator Login credentials. 

Step 2: Go to Phone System > Additional Features.

Step 3: Under Call Blast tab, click Add New Call Blast button.

Step 4: Under Add New Call Blast pop-up window, enter the Blast Name and select or enter the desired Call Blast from the below options:

  1. Upload: Click this option and select:
  1. File Upload: Click this tab to upload pre-recorded audio file(s) as Call Blast from your computer.
  2. Text to Speech: Click Edit button to enter the desired Call Blast message, and click Update to convert the text to speech. You can play the converted text as audio by clicking Play button available on the Audio Bar.
  1. Select From: Click this option and select from the available list of files to select the Call Blast audio.

Step 5: Select an extension from Blast From drop down from which the Call Blast will be sent.

Step 6: Select extension(s) from Extn drop down in which the Call Blast will be received.

Step 7: Click Next button to select sending options.

  1. Send Now: Select this tab, review the Call Blast details and click Send Now button to send the Call Blast instantly. 
  2. Schedule: Select this tab, review the Call Blast details, Select Date and Time from calendar pop-up menu, and click Save & Schedule button to send the Call Blast on the scheduled date/time.

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Additional Features.

Step 3: Under Call Blast tab, select the desired record and click Delete icon available in the record list.

Park Location Group 

How to Create Park Location Group in UnifiedRing? 

Account Administrators are allowed to create Park Location Group in UnifiedRing online account. Park Locations work on UnifiedRing Phone as well as in Mobile application. Administrators can set up Park Locations by adding a Park Location Group on the UnifiedRing account.

Park Locations allow a specific group of people to park a call in a private location that only specific individuals can pick up. To perform this operation, you must add Users as authorized members of a specific Park Location Group in the Online Account. For example, User 1 can answer a call on behalf of User 2, who is on other call; User 1 parks the call on a specified Park Location where, User 2 can pick up the call later on his/ her phone.

NOTE:

  1. Only Account Administrators are allowed to create and add Park Location groups.
  2. Multiple Park Location groups can be created and added through UnifiedRing account.
  3. Creating a Park Location allows Account Administrators to specify the extension number and authorize Users to park as well as pick up a call from the park location.

Following steps best describes on how to add Park Location groups in your UnifiedRing admin account:

Step 2: Go to Phone System > Additional Features.                                                                                                                                                                                                                                                                                                                       Step 3: Under the Park Locations tab, click New Park Location button.

Step 5: Your newly created Park Location will be displayed in the Park Location Record List. You can configure it by clicking on the specified record.

Conference Bridge 

How to Add Conference Bridge in UnifiedRing?

Account Administrators are allowed to create Conference Group through UnifiedRing online account. Each Conference Group created by administrators can contain multiple attendees invited through respective Email IDs. Admins are also allowed to activate Call Screening, Conference Recording, and Conference Status. Conference Group can be accessed on UnifiedRing Online as well as in Mobile application.

NOTE:

  1. Only Account Administrators are allowed to create and access Conference Bridge groups.
  2. Multiple Conference Call attendees can be created and invited through UnifiedRing online account.
  3. Adding a Conference allows Account Administrators to specify Conference Requestor, Conference Topic/ Description, and Conference Duration.

Following sections best describes on how to add, update, activate/ disable and delete Conference Bridge in your UnifiedRing admin account:

Step 3: Under the Conference Bridge tab, click Add Conference button.

Step 4: Under Conference pop-up window, enter the conference requestor Email, conference Topic, conference Description, select conference Duration Limit from drop down, and select meeting Start / End Time from calendar menu.

Step 5: Enter Attendees email ID and click Add button to add an attendee. Repeat the process to add multiple attendees.

Step 6: You can activate or disable Call Screening, Conference Recording, and Conference Status by selecting Active or Inactive from the respective drop downs.

Access Phones & Devices

How to Access Phones & Devices in Your UnifiedRing Account?

UnifiedRing Account Administrators will have the permissions to access User Phones, Device Orders, Replace and Return Devices in your admin account. User Phones section contains the entire list of phones assigned to the Users with their names. User Phones section allows you to:

  1. Auto-Provision (download and install EXE flie) your IP devices
  2. Setup Provision for New IP Phones
  3. Download Provision for Existing IP Phones
  4. Update Provision for Already Provisioned Phones

The User Phones section in your account provides you the list of IP Phones (or Desk Phones), UnifiedRing Phones, and other devices connected to your UnifiedRing account. Following steps best describes on how to access and get to know more about User Phones section in UnifiedRing phone system:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Click Phones System > Phones & Devices > User Phones tab.

Step 3: Click on Extension Name link to open Existing Phone details screen and click:

  1. Update Provision: Click to open Update Provision pop-up window and select the desired Deskphone Model, enter MAC Address of the specified device, and enter Notes (if any). Click Next button and complete the provision setup process.
  2. Edit User: Click to edit User details in Update User pop-up window and select the desired User from the list. Click Save to save the User for the selected extension.
  3. Bandwidth setting Data usage: Select High or Low from drop down.
  4. Edit Address: Click to edit company address details in Emergency Address pop-up window and click Save to save the preferences.

Step 4: Check the box to use HD voice whenever possible.

Step 5: Click Auto-Provision EXE button to download EXE file, and install it in your PC. This application lets you to automatically provision all your IP phones connected to your UnifiedRing Phone system (refer Auto-Provisioning User Guide for more information)

  1. Setup & Provision: Click this button to manually setup and provision the Existing Phones to UnifiedRing phone system.
  2. Download: Click this icon to download the log file to update Provision.
  3. Update Provision: Click this button to update provisions for Already Provisioned Phones.

Update Provision for User Phones 

How to Identify Status and Update Provision for Your User Phones?

UnifiedRing allows you to identify your User Phone’s Provision status, and update/ download provision information for already provisioned phones. Following sections best describes on how to update provision in your existing User Phone, and download provision information.

Identify Provision Status

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phones & DevicesUser Phones.

Step 3: Under User Phones tab, you can see the provision status of your User Phone in Status column.

  1. Enabled indicates your User Phone is successfully provisioned.
  2. Disabled dot indicates your User Phone is waiting for provision.

 

Download Provision Information

Following steps will guide you how to download Provision Information for an existing provisioned phone:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phones & DevicesUser Phones.

Step 3: Click Download icon from the Operation column under User Phones tab.

Step 4: The downloaded text file contains IP Phone provision information such as:

  1. SIP domain: SIP domain address
  2. Outbound proxy: Outbound server address
  3. Username: Account user details (extension number)
  4. Password: Account password (extension password)
  5. Authorization ID
  6. Admin password

 

Update Provision Information

Following steps will guide you how to update Provision Information for an existing user phone:

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Go to Phone System > Phones & Devices > User Phones.

Step 3: Click Update Provision option from the Operation column under User Phones tab.

Step 4: On clicking Update Provision option, enter the Provisioning Information in Update Provision pop-up window appeared:

Step 5: Under Provisioning tab, select/ enter:

  • Deskphone Model: Select the available desk phone model from the list displayed.
  • Mac Address: Enter your phone system MAC address.

Step 6: Click Next.

Step 7: On clicking Next button, system automatically retrieves program details corresponding to the selected User phone for provision upgrade. You also have an option to download the program details as a text file in the Update Provision pop-up window.

Step 8: Click OK.

 

 

Add Devices to Your Account

How to Purchase Devices through Your UnifiedRing Account?

UnifiedRing Account Administrators will have the permissions to purchase devices through their admin account. Devices purchased through UnifiedRing online account are pre-configured and easy to connect to the system. This section describes the process of purchasing a desk phone  through your UnifiedRing account.

NOTE:

You can always track your device order status in Device Orders tab. It is advised to prepare your net work for VoIP calling while you are waiting for your order to arrive.

 

Step 1: Login your UnifiedRing online account with Administrator Login credentials.

Step 2: Click Phones System > Phones & Devices > Device Orders tab.

Step 3: Click Add Device button.

Step 5: Under Buy Phones tab, you can search the desired phones via its Category, Brand, and Price Range. You can also select the device from Recently Bought and Desktop Phones tabs respectively. Click Select button under the respective device in order to select the chosen device. Click Next.

Step 6: Under Numbers tab, you can assign the Existing or New number for the selected device. Select Area Code from drop down, and select "Assign to selected" or "Assign to all" from drop down to assign the number to the selected device. You can also cancel the selection by clicking Unassign number link available in the Operation column. Upon selection confirmation, click Next.

Step 7: Enter the Emergency Address and Customer Name for billing purpose. Select "Assign to selected" or "Assign to all" from drop down to assign the number and device to the corresponding Emergency Address. Click Next

Step 8: Select the Delivery Address and choose the option as "Create Delivery Group" or "Dispatch all the items to this address" from drop down to confirm the delivery address. Click Next.

Step 9: Review the charges and accept the authorisation request by clicking the checkbox. Click Done.

Step 10: You can always check/ track the status of your device orders in Status column or view the complete order history by clicking View button in Operation column. Also, you have an option to replace or return the devices by clicking Replace Device or Return buttons respectively. Clicking this opens up the Replace Device or Return pop-up window where you are allowed to replace or return the purchase orders. Replace and Return Device Order history can be viewed in respective tabs of the Phones & Devices screen. You also have an option to notify the users via emails regarding the device purchases or return of the orders.
